Employing Artificial Intelligence (AI) Chatbots to Automate Tasks and Enhance Trainees Support in Training Institutes

In recent years, the world has witnessed a rapid development in digital technology, especially with the emergence and widespread use of artificial intelligence (AI). These advancements are consistent with the Training and Development Directorate’s goals, which seek to keep up with the latest technologies and practices to improve efficiency and build capabilities. Therefore, this research presents the design and implementation of an AI chatbot named “Training Chatbot,” which is an AI program that simulates human communication through machine learning (ML) and natural language processing (NLP) techniques to automate routine tasks and improve the services provided by this directorate. AI chatbots can provide immediate support and guidance services at any time and respond to frequently asked questions (FAQs) from trainees, such as questions about available courses and requirements for changing job titles. This facilitates the communication and interaction between the training institution and trainees, enhances the effectiveness of training programs, and leads to better workflow. This paper also provides a review of previous studies that have explored the use of chatbots in similar contexts, focusing on implementing AI chatbots on the most widely used platforms, such as Facebook. Finally, the Training Chatbot was integrated with Facebook Messenger and tested to answer FAQs in Arabic for the training division. The results, illustrated through chat images, show that the proposed chatbot is highly effective and successful in interacting with and responding to trainees’ questions, encouraging the development of this smart chatbot and its integration into this directorate.
