Transforming Academic Oversight: SmartTrack—A Digital Solution for Managing Lectures and Laboratories with QR-Based Attendance and Location Tracking for Schools and Universities

Attendance management plays a crucial role in the efficiency and success of organizations, including educational institutions, as well as in the public and private sectors. Proper tracking of attendance for students or employees is essential for optimizing performance and ensuring organizational success. In educational settings, managing attendance during lecture periods presents significant challenges, with manual calculation of attendance percentages often leading to errors, time inefficiencies, and increased administrative burden. To address these challenges, this paper presents the SmartTrack Academic System, a digital solution designed to streamline lecture schedule management and attendance tracking. The system automates attendance processes, reducing reliance on paper-based methods, and utilizes a cloud-based database for real-time data synchronization, ensuring seamless communication and management across users. Key functionalities include features for timetable and attendance coordinators, enabling efficient scheduling, modification of lecture slots, and accurate attendance marking. The system was validated using a dataset of nearly 10,000 students from the institution’s own campus data, demonstrating its scalability and effectiveness in a real-world academic environment. Future enhancements will focus on integrating role-based access control and advanced analytics to support data-driven decision-making. Overall, the SmartTrack Academic System represents a significant advancement in the digitalization of academic administration, optimizing attendance management and enhancing operational efficiency in educational institutions.
