OfficeMind: Dynamic Agent Collaboration in Multi-Agent Systems for Office Resource Management

Traditional office resource management systems often suffer from inefficiencies, including 35–40% underutilization of meeting rooms, scheduling conflicts, and decreased productivity. This paper introduces OfficeMind, a novel Multi-Agent System (MAS) framework designed for dynamic resource coordination through decentralized decision-making. OfficeMind utilizes autonomous agents representing users and resources, employing a hybrid master-slave coordination model coupled with a real-time priority negotiation protocol that resolves conflicts within three seconds based on current demand, urgency, and availability. Modular interfaces ensure seamless integration with legacy tools such as Outlook and Slack. Simulation results in a 10-room office environment demonstrate a 25% increase in resource utilization, a 30% reduction in scheduling conflicts, and a 20% enhancement in user satisfaction compared to static management systems. Additionally, validation with real-world data from a 200-employee office substantiates these improvements. OfficeMind advances MAS-driven office automation, providing a scalable solution suitable for hybrid work environments—particularly in Pacific Rim economies like Hong Kong and Singapore. Future research will focus on integrating IoT technologies to facilitate smart office environments.
