This paper presents an integrated process for document digitization that combines legal compliance with the General Data Protection Regulation (GDPR) and Decree No. 10.278/2020 of Brazil, operational efficiency through Artificial Intelligence (AI), and information security. The research was validated through a case study carried out at CREA-SP, where 1,747 documents (37,243 pages) were processed, demonstrating significant results in three main dimensions. In terms of legal compliance, 99.3% adherence to the requirements of Decree 10.278 and 96.2% to those of the GDPR were achieved, with emphasis on the anonymization of 96.1% of the sensitive data identified. Operational efficiency was proven by a 75% reduction in processing time and a 92.3% accuracy in the automatic classification performed by AI systems. Security was considered through mechanisms such as traceability via QR Code/RFID, data encryption, and granular access control.
