In March 2022 concerns were raised to the Academic Integrity Steering Group (AISG) at Coventry University Group, UK about noticeable improvements in the quality of outputs from Google Translate, QuillBot, Grammarly and similar tools. A working group was established to explore recent technological advances, and to develop guidance for staff and students about appropriate and inappropriate uses of AI-powered tools. In September 2022, after exploring literature and inviting experts to brief the working group, the institutional regulations were modified, adding statements about misuse of AI tools. A consultation with University staff and students started with centrally organised staff development workshops from early November 2022. Then, on 30th November 2022, ChatGPT was released. Between January and July 2023, a total of 25 interviews and focus groups took place, involving 114 staff and students, to share the knowledge gained by the working group and to capture viewpoints and ideas for the guidance. Findings from the consultation helped to frame the guidance notes and resources for students and staff, starting with brief student guidance released in May 2023, with more detailed guidance for staff and students released in September 2023. However, guidance is still being developed more than 1 year on. The chapter explains the journey followed, what emerged, and lessons learnt, so that others can benefit from this experience.
