Recently, in the Architecture, Engineering, Construction and Operation (AECO) sector, a plethora of novel tools and solutions have emerged, responding to the ongoing digital transition. Although many digital platforms and tools have been proposed, little consideration has been given to their impact on users and organizations. Many universities embraced the concept of the campus as a living laboratory, considering it a small city and an ideal test bed to investigate or demonstrate innovative technologies or services. In public universities, organizational units are frequently decentralized and separately managed, resulting in a highly fragmented data landscape with disconnected data silos, comprising individual databases, repositories or systems, making it difficult to access data and perform holistic analysis. In response to these challenges, the study examines the consequences of introducing a new Asset Information Management System (AIMS) for the large building stock of the University of Turin, integrating various information (BIM, GIS, maintenance, occupancy, schedules, sensor data, etc.). Investigating the optimal implementation method and impact on current processes, an analysis was conducted on the Enterprise Architecture in its initial state, proposing a new Architecture developed using the ArchiMate modelling language. The result consists of a careful analysis of existing processes, and a new Reference Architecture considering business needs, information systems and supporting applications, and the necessary technological infrastructure for introducing the AIMS. Thus, heavy impacts on current practices can be avoided, while proposing solutions for managing the transitional phase towards the new approach, including guidelines supporting the success of the change.
