The Art of Effective Customer Communication: Linguistic Prompts for Common Questions

This study examines the beliefs held by customers in service situations and their expectations. The findings can match the way explanations are given with how the service is portrayed. Analyze the differences between customers’ explanations online and offline. Consider the impact on training employees in language skills and preparing for various service-related issues. Employees’ understanding of the service recovery paradox in customer satisfaction affects the type of response customers expect in service failure. Service provider responses typically involve rational explanations and appeasement. Non-verbal behavior in service failure recovery is better understood through explanations with positive response and agreement from service providers. On the other hand, customers tend to use social media language with exclamation, interpretation, and capitalization in their responses. The study analyzes customer questions and replies from reputable companies in banking, healthcare, and insurance. Data was collected from websites and includes at least 30 customer questions and service provider replies. Companies were selected based on recognition for effective customer service by the Institute of Customer Service in the UK. Customer communication is crucial for satisfaction. Companies often receive similar questions, from product details to complaints. This study aims to analyze how service providers respond to customer queries, providing guidance for effective communication.
